We have the following position available: TITLE: Executive Assistant DEPARTMENT: Executive REPORTS TO: Chief Executive Officer (CEO) FLSA Status: Non-exempt POSITION TYPE: Full-time Position Summary The Executive Assistant will provide high-level administrative support to the CEO, Leadership Team, Board of Directors and/or Committees as needed. The Executive Assistant handles sensitive information with discretion and supports leadership effectiveness. Essential Functions • Maintain corporate, Board of Directors and committee minutes and records. • Establish and distribute agendas for staff meetings. • Coordinate meetings and appointments for Board of Directors and Committee members, CEO, and Leadership Team calendar as needed. • Coordinate and distribute Board of Directors and Committee materials. • Coordinate requested documents from external partners including CPA firms and NCUA. • Handle credit union mail by sorting incoming items and coordinating outgoing postage and courier services. • Coordinate NMLS registrations for applicable new hires, updates, and terminations. • Initiate AVIS car rental agreement applications for eligible employees. • Communicate with a diverse group of callers, visitors, and vendors. • Assist with communication to and from CEO, maintaining confidentiality of information contained in communication. • Assist with travel for CEO, Board of Directors, Leadership Team, and or visitors to the Credit Union as needed. • Coordinate annual paperwork, devices and corporate wear for Board of Directors and Committee members. • Place orders for other items as requested by CEO and/or Leadership Team. • Plan and coordinate volunteer celebration events. • Establish and maintain effective employee relations. • Maintain the security of the work area and ensure that it presents an organized and neat appearance. Required Education and Experience • Completion of a two-year college degree or completion of a specialized course of study at a business or trade school. • Three to five years’ experience of executive assistant experience, or experience in a similar role. Preferred Education and Experience • Prior Credit Union experience. • Bachelor’s degree. Knowledge and Abilities • Excellent time management and organizational skills. • Resiliency and extreme adaptability in a fast-paced environment, with an ability to multi-task. • Proven ability to meet deadlines. • Professional, well-developed interpersonal skills, with excellent verbal and written communication skills • Ability to learn office machinery, including printer, fax and postage meter • Advanced knowledge of Microsoft 365, as well as Adobe Professional Edition. • Ability to learn all internal computer programs essential to job functions. • Basic math skills. • The ability to maintain confidentiality. Physical Requirements • While this position is primarily sedentary, while performing the essential duties of the position the employee may be required to stand, sit, walk, stoop, kneel, talk, see and hear. The nature of this position requires physical mobility and the ability to occasionally lift and/or move a maximum of 50 pounds with assistance. This position may include prolonged periods of time working on a computer and looking at a monitor screen. Position Requirements • Core operating hours for this position will be Monday through Friday 8:00 AM until 5:00 PM MT. • Travel and time spent outside office may be required. • Occasional evening or extended hours may be required. • Requirement to be bonded.
