Position Summary
CRM/Data Specialist   He/she is under the general direction of the Executive Director and works closely with other staff for data reports and coordinated duties for the campaign.  He/she will provide information/management support and is responsible for administrative, data donor information, clerical and technical support to United Way of Laramie County.   
Essential Responsibilities:
Maintain the donor management database:
  • Is responsible for accurate Donor pledge and payment data entry.
  • Provide computer, database support and database management for UWLC’s staff, Board members and volunteers communicating with the Director of Development(DD) and Executive Director(ED) on current information and discrepancies. Suggest changes/enhancements to the database protocols that will further the Team in their goals of relationship building, streamlining processes, etc. Acts as the Donation Tracker expert for the team, maintains operating manual.
  • Prepares reports using Microsoft Word, Excel and specific United Way software by collecting and analyzing information including monitoring pledges Accounts Receivable and national campaign reports.
  • Responsible for weekly bank deposit (preparing and depositing) and balancing with the Finance Controller.
  • Responsible for credit card donations; terminal, training, confidentiality, donor thank you card.
  • Responsible for managing donor invoices including tracking, sending and follow-up.
  • Daily mail collection, distribution and bulk mail responsibilities.
  • Monitors Accounts Receivables and payments against pledges.
Annual Campaign Team Duties:
  • Employee Campaign Relationships & Engagement
    • Provides meaningful support and stewardship to employee and local government campaign coordinators; personal contact, overview and support of employee and local government campaigns, and acknowledgement efforts.
    • Manages annual employee and local government campaign plans and timetable.
    • Implements training programs for employee and local government campaign coordinators.
    • Analyzes employee and local government campaign results and helps develop strategic planning for the next campaign.
  • Support UWLC’s annual campaign as assigned including;
    • Assembling and collating campaign materials,
    • Assisting Marketing/Communications Specialist with planning and scheduling events,
    • Planning for direct mail assembly,
    • Managing the Speaker’s Bureau- both volunteers & program partners,
    • Timely data reporting to facilitate relationship management of new, lapsed, and major donors
Customer Relationship Management Team Duties;
  • Represents UWLC to customers and guests by welcoming and greeting them, in person or on the telephone and answering or directing inquiries to the appropriate party.
  • Become familiar with key stakeholders to understand relationships; donors, board members and volunteers.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Uses judgment and discretion in maintaining ED’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. 
  • Assists the ED and DD with scheduling relationship appointments.
Internal Organizations Relationships:
This position reports to the ED. 
As a United Way team member, this employee performs other miscellaneous duties that may be of assistance to staff and volunteers, including but not limited to, the following:
  • Board meeting minutes,
  • Monitoring Obituaries and scrapbook,
  • Performs general office tasks and minor housekeeping duties.
This employee demonstrates a commitment to quality personal performance while also demonstrating the ability to function effectively as a member of a team of staff and volunteers. This employee has demonstrated written, telephone and face-to-face interpersonal communication skills for interacting with various stakeholders including volunteers, donors, the general public, United Way staff and Board members. This position requires a personable, discrete individual capable of exercising independent judgment in the execution of his/her assigned responsibilities with a commitment to maintaining confidentiality.

External Relationships:
The CRM/DS has extensive contact with various public entities.  He/she should strive to make a positive, professional impression in his/her personal conduct and appearance, both outside and within the office.  He/she must understand and consistently communicate the mission, goals and activities of UWLC.
Qualified individuals will have:
  • Associates Degree in business administration, or
  • 3-5 years general business experience, in lieu of a degree. Database experience is helpful.
  • Ability to produce documents in word processing programs, including but not limited to Microsoft Office Suite.  Excel is used frequently for mail merges and reporting.
  • Strong organization skills and will be detailed oriented.
  • Ability to multi-task.

Material and Equipment Directly Used:
Calculator, copy machine, telephone, computer, keyboard, computer/printer, network menu, credit card terminal, word processing programs and special software specific to United Way.
Physical Demands:
An open office environment with comfortable surroundings. While performing the duties of this job, employees are regularly required to sit; talk or hear, both in person and by telephone; use hands to finger, handle, feel or operate standard office equipment, and reach with hands and arms.  Employees are frequently required to stand, walk and lift up to ten pounds, occasionally up to forty pounds.  Specific vision abilities required by this job include close vision and the ability to adjust focus.  Must have a valid driver’s license and reliable transportation.
